In person or via a virtual meeting, executing a successful board meeting requires careful planning and focus on detail. It’s also crucial to establish a productive culture for your meetings that helps participants engage in healthy debate as well as gain new ideas.
The chair of the board (typically the president or the manager of your community association) should lead your board meetings. In each item on the agenda, give every board member the chance to voice their views, ask questions and/or express concerns, before taking a vote to determine the outcome of the matter. This will help avoid confusion in the future over what was discussed, decided on, and finally ratified by the boardroom.
Define the Goal of Each Item
Make sure to provide a description of the goals each agenda item is meant to accomplish ahead of time. This will prevent confusion or waste of time. It’s also useful to include an option for each item that indicates whether it’s designed to provide information, educate or arrive at a decision.
Don’t Rush to a Decision
Many boards believe that they need to make decisions quickly to calm homeowners who are angry or to avoid dragging an issue out that could end up resolving itself. This is only causing your community and your board to be pushed back. Besides, rushed decisions are often not executed well and often lack the needed expert input.
